We may collect the following types of information:

• Personal Information: Names, email addresses, phone numbers, postal addresses, and student identification details provided by parents and guardians during admission and school operations.

• Educational Data: Academic records, attendance, assessment results, and performance reports necessary for educational purposes.

• Technical Information: IP addresses, browser types, device information, and usage patterns collected through our website to enhance user experience.

• Communication Records: Correspondence, notices, and communications exchanged between the school and families.

2. Information Collected by Our Mobile App

The school's mobile app is used by parents, students, staff and school bus drivers. Depending on who signs in, the app may access the following:

• Location (bus drivers only): When a school bus driver starts a trip in the app, the app collects the phone's precise location (GPS coordinates, with speed and accuracy) and continues to send it while the trip is running, including when the app is in the background or the screen is off, until the driver ends the trip. We use this location only to show parents the live position of their child's bus and to keep a record of the trip for student safety. Location is not collected when no trip is running. We do not collect or store the location of parents, students or other staff. A driver can stop location sharing at any time by ending the trip or turning off the app's location permission; live bus tracking then stops.

• Camera and photos: The app uses the camera or photo library, only when you choose to, to take or upload a profile photo. For face-based staff attendance, the app converts a staff member's face image into a numerical face template on the device; only this template is sent to the school, where it is stored encrypted and used solely to mark that staff member's attendance.

• Camera, microphone and Bluetooth (live online classes): When a teacher, student or parent joins a live online class in the app, the app uses the camera and microphone so participants can see and hear each other, and Bluetooth so a wireless headset can be used. Audio and video are sent live only to the people in that class through our video-call service provider. Classes are not recorded, and the school does not store the audio or video.

• Camera (QR scanning): Staff and gate security use the camera to scan student, staff and visitor QR codes for attendance and gate entry. Only the scanned code is used; no picture is kept.

• Notifications: The app stores a push notification token for your device so we can send fee, attendance, transport, exam and school notices. The token is removed when you sign out.

• Account information: Your sign-in details and the school records you are permitted to see, such as fees, receipts, attendance, timetable and report cards.

Location, camera, microphone and face data are never sold, never used for advertising, and never shared outside the school except with the service providers listed in Section 5, who run these features on our behalf.

3. Purpose of Information Collection

We collect and use personal information for the following purposes:

• Administering student admissions and maintaining student records

• Communicating important school updates, notifications, and event information

• Facilitating educational activities, examinations, and assessments

• Processing fee payments and financial transactions

• Improving school services and website functionality

• Complying with legal and regulatory obligations under CBSE guidelines

• Ensuring the safety and security of our school community

Shivalik International Convent School implements appropriate technical, administrative, and physical safeguards to protect personal information from unauthorized access, disclosure, alteration, and destruction. Our security measures include encrypted communication channels, secure databases, and controlled access to sensitive records. However, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

5. Information Sharing and Disclosure

We do not sell, trade, or rent personal information to third parties. Information may be shared only in the following circumstances:

• Within School Operations: With authorized staff members, teachers, and administrators who require access for educational and administrative purposes.

• Legal Obligations: When required by law, court order, or government authorities for compliance with CBSE regulations and educational policies.

• Parent Requests: With parents and guardians as required for student welfare and academic progress.

• Service Providers: With trusted vendors who assist in website maintenance, communication, and school operations, under confidentiality agreements.

• Google Firebase: Google Firebase delivers app notifications and relays the live bus location from the driver's app to parents' apps, as our service provider.

• Video-call service: A video-call service provider (LiveKit) carries live online class audio and video between participants; it is not recorded.

• Google Maps: Shows the school bus position on a map in parents' apps. The app does not send the parent's own location.

6. Student Privacy and Educational Records

Student educational records are maintained in compliance with CBSE guidelines and relevant education regulations. Parents and guardians have the right to access and review their child's academic records. Sensitive student information is kept confidential and shared only with authorized personnel and parents as appropriate.

Our website may use cookies and similar tracking technologies to enhance user experience and gather analytics. Bus location points are stored with the trip they belong to and are used only for transport and student-safety records. A staff member's face template is kept until it is removed at the staff member's or the school's request. Push notification tokens are deleted when you sign out of the app.
